Position Summary 
The HR & Recruiting Coordinator plays a vital role in supporting both our people and our culture. This position provides administrative and operational support across Human Resources and Recruiting, serving as a welcoming and knowledgeable resource for employees and managers at every level of the organization.

From onboarding new team members and supporting benefits administration, to maintaining accurate HR records and assisting with hiring efforts, this position plays a crucial role in the overall employee experience. What You’ll Be Doing
HR Operations & Employee Support:
  • Respond to employee inquiries via email and phone regarding policies, benefits, and HR procedures.
  • Maintain HR systems (ExponentHR & JazzHR), ensuring accurate data entry, system updates, and compliance with HR policies. 
  • Support HR reporting, audits, and documentation, ensuring accurate personnel records. 
  • Assist with benefits administration, including new hire enrollments, changes, terminations, and audits. 
  • Track and coordinate employee leaves of absence, ensuring compliance with applicable policies. 
Recruiting Support:
  • Assist in maintaining the applicant tracking system (JazzHR) including, but not limited to; job requisition opening, closing, advertising, and candidate management. 
  • Manage pre-employment processes such as background checks and offer letter creation. 
  • Coordinate with candidates and hiring managers to schedule on-site interviews at the home office.
  • Provide support for high-volume hiring periods, assisting with application reviews, candidate outreach, and phone screens. 
  • Assist the recruiter and hiring managers with ad hoc support, including attending and documenting Recruiting meetings, conducting reference checks, and providing status update on general recruiting and onboarding.
Onboarding & Employee Experience: 
  • Own and enhance new hire onboarding, including welcome communications, and orientation facilitation.
  • Coordinate with IT and hiring managers to ensure emails, usernames and accounts are setup for their new hire training.
  • Manage and assist with employee badge creation and ICO uniform accounts. 
  • Maintain inventory of training workbooks and new hire swag. 
Office & Administrative Support: 
  • Assist with corporate card invoice processing, ensuring accuracy and timely submission. 
  • Maintain HR databases and shared resources (e.g., employee property lists, birthdays, etc.) as needed.
  • Support office-related tasks such as stocking supplies, ensuring a welcoming environment, and providing reception support when needed.
 Qualifications
  • A bachelor's degree in Human Resources, Business Administration, Communications, or a related field is preferred.
  • A high school diploma or equivalent (GED) is required.
  • 2+ years of Human Resources or Recruiting Coordination experience is preferred.
  • Excellent written and verbal communication skills, with the ability to engage effectively across audiences with varying communication styles and preferences. The selected candidate must be comfortable communicating with employees over the phone.
  • Demonstrated proficiency in Microsoft Office Suite and general computer and technology skills, with the ability to quickly learn and adapt to new software platforms and tools.
  • Experience with HRIS platforms and Applicant Tracking Systems (ATS) is preferred.
  • Working knowledge of employment laws and regulations, including but not limited to Wage and Hour, Title VII, OFCCP, EEO/AAP, FMLA, ADA, Workers' Compensation, I-9, and E-Verify, is preferred.
  • Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.
  • Strong organizational and problem-solving skills with a high level of attention to detail and accuracy.
  • Ability to manage multiple projects and competing priorities simultaneously, with a strong sense of urgency and the ability to meet deadlines in a dynamic environment.
  • A strong sense of organizational culture with the ability to serve as a cultural ambassador through day-to-day interactions, and HR/Recruiting initiatives.
  • Flexible and adaptable, with the ability to quickly re-prioritize as business needs evolve.
  • Possess a high level of integrity and compassion, with a genuine commitment to teamwork, inclusion, growth, and customer service.
  • Must be able to work a hybrid schedule, with the majority of time spent on-site and the flexibility to work remotely one to two days per week.
Compensation   
  • The compensation range for this position is $30 to $35 per hour (depending on experience).

Physical Requirements 
To successfully perform the essential functions of this job, the employee must be able to:  
  • Perform work in a professional office environment.
  • Must be able to use standard office equipment such as computers, phones, photocopiers, and fax machines.
  • Regularly required to sit, and to move about the various work environments to train, monitor and ensure compliance with all company requirements.
  • The position may involve standing for extended periods of time.
  • Verbally communicate with employees, co-workers and customers in person, virtually, and by phone.
  • Lift, push, and pull up to 25 pounds.
  • Travel to various worksites that may require overnight stays, flights, and/or prolonged travel in a vehicle.
